• An attachment is a file, usually a document or a graphic, which is attached to an email. It travels with the email and is opened up at the recipient's end.

• Files can be created in a range of software; e.g. Word and Clarisworks. The resulting attachment may not open unless the recipient has the same software as the file was created in. Sometimes even the same version is required.

• Sometimes saving a word processing document as a rtf or rich text format addresses the problem of the sender and the receiver having incompatible software.

• If possible, enquire first about the format in which the receiver would like to receive your attachments.

Attachments and viruses

Email attachments are one of the primary means of transferring computer viruses across the Internet. By opening an attachment, without virus-checking it first, you are running a program with full access to all your computer's information. You also put at risk all the people with whom you share data and email.

• Use or install a reputable virus-scanning program (with a recently updated virus list). This will often be able to disinfect the attachment.
• If you are not sure of the source, delete the attachment. Do not open it.
